THE INDIA STAFFING GUIDES

Make time-zone overlap work

Exact time differences, the three scheduling models US teams actually use, how much overlap each role really needs — and how we staff to the hours you need.

Time differences

IST vs your time zone, exactly

India Standard Time is UTC+5:30 — note the half hour — and India does not observe daylight saving. The US, UK, and most of Europe do, so the gap shifts by one hour twice a year. Anchors below use your standard (winter) time.

Your regionDifference from ISTAnchorOverlap reality
US Eastern (EST)IST is 10.5 hours ahead (9.5 during US DST)9:00 AM EST = 7:30 PM ISTYour morning = India's evening. Natural 2–3 hour window.
US Central (CST)IST is 11.5 hours ahead (10.5 during US DST)9:00 AM CST = 8:30 PM ISTEarly-morning calls work; India evening covers your AM.
US Mountain (MST)IST is 12.5 hours ahead (11.5 during US DST)9:00 AM MST = 9:30 PM ISTPlan a tighter window, or shift the India schedule.
US Pacific (PST)IST is 13.5 hours ahead (12.5 during US DST)9:00 AM PST = 10:30 PM ISTEarly PT mornings meet India's late evening; shifted schedules are common.
United Kingdom (GMT)IST is 5.5 hours ahead (4.5 during BST)9:00 AM GMT = 2:30 PM ISTMost of the UK workday overlaps India by default.
Central Europe (CET)IST is 4.5 hours ahead (3.5 during CEST)9:00 AM CET = 1:30 PM ISTStrong natural overlap across the afternoon.
UAE (GST)IST is 1.5 hours ahead (no DST either side)9:00 AM GST = 10:30 AM ISTNear-full workday overlap, no planning needed.
Australia East (AEST)IST is 4.5 hours behind (5.5 during AEDT)2:00 PM AEST = 9:30 AM ISTIndia's morning covers your afternoon.

India's half-hour offset trips up calendar math — always double-check the :30. Because India has no daylight saving, your meeting times shift by an hour when your clocks change, not India's.

For US teams

Three ways US teams make India hours work

The 10–13 hour gap sounds unworkable until you see how teams actually run it. Each of these models is in daily use by our clients — the right one depends on how collaborative the role is.

  1. The morning handshake

Your staff works a standard India day with the last hours overlapping your morning. Daily standup at 8–9 AM Eastern (6:30–7:30 PM IST), then your team takes over with full context.

Best for: Developers, designers, QA, and marketing roles where a daily sync plus async updates covers collaboration.

Cost: Included in the standard seat — this is the default setup for US East Coast clients.

  2. The shifted schedule

Your staff works India evening to night, covering a large block of your business day in real time — for example 6:30 PM to 3:30 AM IST covers 8 AM to 5 PM Eastern.

Best for: Executive assistants, customer support, and roles embedded in your team's daily flow.

Cost: Night shift or heavy US-overlap coverage is an add-on, quoted upfront when we scope the role.

  3. Follow-the-sun

You hand off work at your end of day; India works while you sleep and hands back by your morning. A bug filed at 5 PM Eastern is often fixed before your next standup.

Best for: QA cycles, content production, data work, back-office processing — anything with clean handoffs.

Cost: Included in the standard seat — the time difference becomes the feature, not the problem.

You do not have to choose the model alone. Working hours are part of the role requirement: tell us the hours that matter, and we hire candidates who are available for that schedule — agreed before the person starts.

Overlap by role

How much overlap does each role actually need?

Most buyers overestimate the overlap a role needs. Full-day real-time collaboration is rare; what matters is the right window for the right interactions.

RoleOverlap neededWhy
Developers1–3 hoursStandup, planning, and blockers in the window; heads-down build time is better async anyway.
QA engineersHandoff-basedEnd-of-day handoffs shine here — test cycles run overnight and results are back by your morning.
UI/UX designers1–2 hoursReview and feedback sessions in the window; production work is async.
SEO / marketing specialistsMinimalWeekly syncs plus async reporting usually cover it.
Executive assistantsHigh — often your hoursInbox, calendar, and scheduling need real-time presence; a shifted schedule fits.
Customer supportCoverage-definedScheduled to the window your customers need — including extending your coverage day.
Bookkeeping / back officeMinimalDeadline-driven, not meeting-driven. Weekly check-ins suffice.

Beyond the overlap window

Async habits that make the other 20 hours productive

Teams that thrive with India staff treat the overlap window as sacred and everything else as async. These habits are what we see working across our client base.

  • A written end-of-day handoff — what moved, what is blocked, what is next
  • Recorded walkthroughs instead of 'quick calls' for explanations
  • Tasks live in a shared tracker, not in chat threads
  • Decisions documented where the whole team can read them
  • The overlap window reserved for discussion, not status updates
  • One clear escalation path for anything urgent outside the window

Your staff member works from our managed office on a consistent, supported schedule — attendance is tracked, so the rhythm you agree on is the rhythm you get.

Where YourRemoteStaff fits

We staff to your hours, not ours

Time zone problems are almost always hiring problems in disguise: the overlap was assumed instead of agreed. We make working hours part of the role requirement itself. Tell us the window you need — a US-morning standup, half-day Eastern coverage, or full US business hours — and we source candidates who are genuinely available for that schedule, seated in our managed office where the schedule is supported and attendance is real. Extended and night-shift coverage is quoted upfront as an add-on, never discovered later.

Tell us the hours that matter to you

Share your time zone and the meetings your India staff must attend. We will propose a working schedule and confirm it with real candidates.

FAQ

India time zone questions

Direct answers about IST differences, US-hours coverage, meeting windows, daylight saving, and follow-the-sun workflows.

What is the time difference between India and the US?

India Standard Time (UTC+5:30) is 10.5 hours ahead of US Eastern Standard Time and 13.5 hours ahead of Pacific Standard Time. During US daylight saving the gap narrows by one hour, because India does not observe DST.

Can Indian remote staff work US hours?

Yes. Many roles run with a planned morning-overlap window at no extra cost, and staff can work partly or fully shifted to US hours when the role needs it. Night shift or heavy US-overlap coverage is quoted upfront as an add-on.

Is the India time difference a problem for remote teams?

Only when overlap is assumed instead of planned. With an agreed window — typically your morning meeting India's evening — plus async handoffs, most roles run smoothly. For handoff-friendly work like QA, the time difference is actually an advantage: work continues while you sleep.

How much overlap do I need with my India team?

Less than most buyers expect. Developers and designers typically need 1–3 hours for standups and reviews. Marketing and back-office roles often need only weekly syncs. Executive assistants and support roles may need your full business hours, which is staffed as a shifted schedule.

What is a good meeting time for US and India teams?

The most common window is 8:00–10:00 AM US Eastern, which is 6:30–8:30 PM IST — late in India's standard day but workable daily. For Pacific teams, 7:00–9:00 AM PST equals 8:30–10:30 PM IST, so shifted India schedules are more common on the West Coast.

Does India observe daylight saving time?

No. India stays on UTC+5:30 year-round. When US, UK, or European clocks change, the gap with India shifts by one hour — worth recalibrating recurring meetings twice a year.

Does night shift or US-hours coverage cost extra?

Partial morning overlap is standard and included. Night shift or heavy US timezone overlap is an add-on, quoted upfront when we scope the role — the price you agree to is the price you pay.

How does the overlap work for UK, UAE, and Australian teams?

UK teams get most-of-day natural overlap (IST is 5.5 hours ahead of GMT). UAE has near-full overlap (1.5 hours). Australian east coast teams overlap India's morning with their afternoon. None of these typically need schedule adjustments.

What is follow-the-sun and does it really work?

Follow-the-sun means handing work off at your end of day so it progresses overnight in India and returns by your morning. It works well for QA cycles, content production, and back-office processing — anywhere handoffs are clean and documented.

How do you make sure my staff actually works the agreed hours?

Working hours are agreed at hiring, and your staff works from our managed office where attendance and office presence are supported daily — the schedule is something we can actually stand behind, not something you take on trust.
